It is important to ensure that your Sidekick or Escap is kept up to date with your current list of assets. Each time you purchase or dispose of an asset you will need to update your asset list.
Assets are defined as any item that requires either re-active maintenance or scheduled maintenance. When it comes to your guests rooms, all items inside the room are taken care of as work order descriptions. Simply enter the guest room as an asset.
To enter an asset, you must have administrator privileges.
Assets > Add Asset
This will open the Add Asset / Equipment window.
All fields that are highlighted in red are mandatory fields however we recommend completing all fields to ensure great data capture.
Room / Item - Enter the name of the item (remembering that all assets need to have a unique name so considering adding a unique identifier or location to your item name)
Description - Add a description of the item, for a guest room this might be the room type.
Asset Register - The asset register will help to categorise your assets as well as determine what assets types are available. If you are using icon navigation when you submit a request the asset will appear under the asset register icon.
Asset Type - Based on the asset register selected, you will be given a list of possible asset types to enter your asset under. The asset type will determine what work request categories / work order descriptions are available for that asset.
Work Request Category - this field is only available for equipment based assets, any assets that are entered as a location (buildings, floors, exterior locations, guest room etc) will not have a work request category. Work request categories determine what work order descriptions / requests (
Work Order Descriptions) that can be submitted for that type of item.
Planned Work Category - if this item requires regular scheduled maintenance you can select the category that it fits into so that you can complete planned maintenance for that category of items in one schedule.
Owner - Name of your ownership group
Operator - Name of the operator
Brand - This is the brand of the hotel or item (Brands can be added under the admin tab >tables)
Condition - Condition of the item
Location - Link this item to an existing location

If you are adding multiple assets of the same nature, use the duplicate this asset toggle before you save and this will keep your data in the fields requiring minimal updates for the next asset.
If you are using QR codes or Barcodes, these can be created when you add the asset, simply turn the Generate QR Code / Barcode toggle on.
