Planned Work - Creating a Custom Planned Work Routine

Your application comes with a number of predefined routine schedules that cover a range of regular maintenance activities. If a routine doesn't quite fit your organisations schedule or requirements you can create your own custom routine. 

Navigate to Planned Work >Set Up > Routine List

This will bring you to the Routine List window where you can view all routines. Any Planned Work Routine with a number below 1,000,000 is a system defined routine. All routines 1,000,001 and above are customised routines.
Routines will either have a grey or red highlight against them. Grey means that an asset is linked to this routine where as Red means that no asset is linked to that routine.



To add a new routine - click the Add button, this will bring you to the Planned Work Routine - Add window




Here you will need to fill out the details of the routine. Fields with a red line are required fields and need to be completed before saving. 

Planned Work Type - There are three types of Planned Work Routines, Fixed, Standard and Variable. 
      Fixed - A routine that create work orders at fixed intervals regardless of when it was completed
      Variable - A routine that creates work orders based on the last completion date.
      Standard - A one off schedule that has no routine. 

Work Type - Category of the planned work routine
Time Frequency - How often does this routine occur
Lead Times - How many days prior to the work being due should a work order be created
Skill - Skill of the person required to complete the job
Task Type - Which department is responsible for the routine

Each routine can have a list of tasks associated that need to be completed, these tasks can be listed out in the task tab
If you have set employees or contractors who complete this routine they can be added directly to the routine under the Employees and Contractor Tab - you have an option to notify this user when the work order is created by using the notification check box. 
If standard materials are always used for this job these can be added directly to the routine under the materials tab. 

Once all information is entered hit the save button.
